By booking a place on the Women’s Adventure Academy Weekender, you confirm that you have read, understood and agreed to these Terms & Conditions.

1. The Event

The Women’s Adventure Academy Weekender is a one weekend outdoor adventure course taking place in the Langdale Valley in the Lake District.

The weekend includes:

  • One night based at a rustic mountain hut, including one night of wild camping.

  • Navigation and camp craft skills.

  • Walking on mountainous, uneven and potentially challenging terrain.

  • An overnight wild camping experience.

  • Group cooking and camping activities.

  • A small-group, supportive and inclusive learning environment.

The weekend is separate from the full Women’s Adventure Academy programme, which is a three-weekend programme running in Spring 2027.

The itinerary may be changed by the organiser where necessary for safety, weather, conditions, group ability or other circumstances beyond the organiser’s control.

2. Booking and Payment

A place is confirmed once the organiser has received payment of the agreed course fee of £250.

Payment may be made in full or, by prior agreement with the organiser, in two instalments of £125.

A booking is not confirmed until the agreed payment has been received.

Places are limited and are offered on a first-confirmed basis unless otherwise agreed with the organiser.

3. Cancellation by the Participant

If you need to cancel your booking, please contact the organiser as soon as possible.

Because places are limited and costs are committed in advance, the following cancellation terms apply:

  • More than 28 days before the event: full refund, less any non-refundable costs already incurred by the organiser.

  • 14–28 days before the event: 50% refund, less any non-refundable costs already incurred.

  • Less than 14 days before the event: no refund, unless the organiser is able to fill your place or otherwise agrees to a refund.

If the organiser is able to fill your place with another participant, a refund may be offered less any reasonable administration or non-refundable costs.

Any refund will be made using the original payment method where reasonably possible.

4. Cancellation or Changes by the Organiser

The organiser reserves the right to cancel, postpone or substantially alter the event where this is reasonably necessary, including because of:

  • Severe or unsuitable weather.

  • Mountain or ground conditions.

  • Safety concerns.

  • Illness, injury or other circumstances affecting the organiser or support staff.

  • Access restrictions or closure of facilities.

  • Insufficient numbers.

  • Events outside the organiser’s reasonable control.

Where the organiser cancels the event, the organiser will provide as much notice as reasonably practicable.

If the event is cancelled by the organiser and an alternative date cannot be offered or agreed, participants will be entitled to a refund of payments made for the event, subject to any applicable legal rights.

The organiser will not normally be responsible for additional costs incurred by participants, such as travel, accommodation or other expenses, unless required by law.

5. Fitness and Ability

The weekend involves physical activity in a mountainous environment.

Participants should have a moderate to good level of fitness and should be capable of:

  • Walking for several hours on uneven and sometimes steep terrain.

  • Carrying a rucksack weighing approximately 15kg for up to around three hours with breaks.

  • Managing steady uphill climbs and uneven rocky ground.

  • Taking part in an overnight wild camping experience.

The organiser will aim to maintain a steady and inclusive pace, with regular breaks and appropriate consideration for the group.

Participants are responsible for honestly assessing whether the course is suitable for them.

If you are unsure whether you have the fitness or ability required, you should discuss this with the organiser before booking.

6. Health, Medical Conditions and Medication

Participants must inform the organiser before the event of any relevant medical condition, injury, allergy, medication requirement or other circumstance that could reasonably affect their ability to participate safely.

Participants should bring any medication they require with them.

The organiser may ask a participant to withdraw from an activity if, in the organiser’s reasonable judgement, continuing would present a significant risk to that participant or another person.

Where appropriate, emergency services or a nominated emergency contact may be contacted.

Providing relevant health information does not guarantee that the organiser can accommodate every medical requirement. Participants should contact the organiser before booking if they have particular accessibility, medical or support requirements.

7. Outdoor and Mountain Environment

Participants acknowledge that outdoor activities in the Lake District carry inherent risks.

These may include, but are not limited to:

  • Slips, trips and falls.

  • Uneven, rocky, steep or wet terrain.

  • Changes in weather and temperature.

  • Wind, rain, cold, heat or reduced visibility.

  • Streams, rivers and bodies of water.

  • Falling rocks or other natural hazards.

  • Getting lost or separated from the group.

  • Fatigue or physical exhaustion.

  • Injuries associated with carrying a heavy rucksack.

  • Risks associated with wild camping.

  • Risks associated with cooking outdoors.

  • Encounters with livestock, wildlife or insects.

  • Delays in receiving emergency assistance due to the rural and mountainous location.

Participants agree to follow reasonable safety instructions given by the organiser and to act responsibly throughout the weekend.

8. Weather and Safety Decisions

Mountain weather can change quickly and may affect the planned itinerary.

The organiser has responsibility for making reasonable safety decisions during the event and may change the route, activities, camping location or itinerary where necessary.

Participants agree to follow reasonable instructions from the organiser relating to safety.

The organiser may require the group to return to the hut, alter the planned route or stop an activity if conditions are considered unsuitable.

9. Equipment and Kit

Participants are responsible for bringing suitable clothing, footwear and personal equipment unless otherwise agreed.

The recommended kit list will be provided before the event.

Participants may borrow suitable equipment from the Women’s Adventure Academy kit store at no additional cost, subject to availability and suitability.

Participants are responsible for taking reasonable care of borrowed equipment and returning it in good condition after the event.

Participants should not bring equipment that they are unfamiliar with or that they believe is unsuitable for the conditions without discussing it with the organiser.

10. Camping and Cooking

The weekend includes an overnight wild camping experience.

Participants must follow instructions regarding campsite selection, tents, cooking, food storage, water and fire or stove safety.

Camping stoves must be used safely and only in accordance with the manufacturer’s instructions and the organiser’s guidance.

Open fires are not permitted unless specifically authorised and safe to do so.

Participants must take reasonable steps to minimise their impact on the environment and leave camping areas as they found them.

11. Group Conduct

The Women’s Adventure Academy Weekender is intended to be a friendly, inclusive and respectful experience.

Participants are expected to:

  • Treat other participants, instructors, landowners and members of the public with respect.

  • Follow reasonable safety instructions.

  • Respect the natural environment.

  • Take responsibility for their own behaviour and equipment.

  • Raise concerns promptly with the organiser.

Bullying, harassment, discrimination, threatening behaviour or behaviour that places another person at unreasonable risk will not be tolerated.

The organiser reserves the right to ask a participant to leave the event if their behaviour is considered unsafe, seriously disruptive or inappropriate.

No refund will normally be provided where a participant is removed from the event because of serious misconduct.

12. Alcohol and Drugs

Participants must not attend or participate in activities while impaired by alcohol, illegal drugs or any other substance that could affect their ability to participate safely.

The organiser may require a participant to stop participating or leave the event if they reasonably believe the participant is impaired and presents a safety risk.

13. Transport

Participants are responsible for arranging their own travel to and from the event unless otherwise agreed.

The organiser may assist participants in arranging a lift share from the nearest suitable bus stop or train station.

Any lift share is arranged voluntarily between participants and is not a service provided by the organiser.

Participants are responsible for making their own arrangements and should ensure that any driver and vehicle they use are appropriately licensed, insured and roadworthy.

14. Accommodation

The group will stay at a rustic mountain hut in the Langdale Valley.

The accommodation is basic and includes bunk beds, a basic bathroom, running water and electricity.

Participants understand that this is simple outdoor accommodation rather than hotel-style accommodation.

One night will be spent wild camping.

15. Food and Dietary Requirements

The organiser will request participants’ dietary requirements and relevant allergies before the event.

Participants are responsible for informing the organiser of dietary requirements or allergies in sufficient time to allow appropriate arrangements to be made.

Where a participant has a severe or potentially life-threatening allergy, they should discuss this with the organiser before booking.

16. Emergencies

The organiser will take reasonable steps to manage foreseeable risks and respond appropriately to emergencies.

In an emergency, the organiser may contact emergency services and/or the participant’s nominated emergency contact.

Participants must provide accurate emergency contact information before the event.

Participants acknowledge that emergency assistance in mountainous areas may take time to arrive and that evacuation may not always be immediate.

17. Photography and Video

Photography or video may be taken during the event for personal memories and, where separately agreed, for Women’s Adventure Academy promotional purposes.

The organiser will respect any participant who does not wish to appear in promotional photographs or video.

Participants should inform the organiser before or during the event if they do not wish to be photographed or filmed for promotional purposes.

18. Personal Belongings

Participants are responsible for their own personal belongings and equipment.

The organiser is not responsible for loss, theft or damage to personal property except where liability cannot lawfully be excluded.

Participants are advised to have appropriate insurance covering their personal belongings and outdoor equipment.

19. Insurance

Participants are responsible for arranging any personal insurance they consider appropriate, including travel, personal accident, cancellation and equipment cover.

Participants should ensure that any insurance they purchase covers the activities involved in the weekend, including walking and wild camping where applicable.

20. Liability

The organiser will take reasonable care in planning and delivering the event.

However, participants acknowledge that outdoor and mountain activities involve inherent risks that cannot be completely eliminated.

Nothing in these Terms & Conditions excludes or limits liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot legally be excluded or limited.

Subject to the above, the organiser is not responsible for loss, damage, injury, expense or delay arising from circumstances outside the organiser’s reasonable control.

Participants remain responsible for taking reasonable care of themselves, their belongings and other members of the group.

21. Privacy and Personal Information

The organiser will collect and use personal information necessary to administer the event, including contact details, emergency contact information and relevant dietary, medical or accessibility information.

Information will be handled in accordance with applicable UK data protection law.

Personal information will only be shared with third parties where reasonably necessary to administer the event, respond to an emergency, comply with a legal obligation, or where the participant has otherwise provided appropriate consent.

22. Acceptance of Terms

By making payment and confirming your booking, you confirm that:

  • You have read and understood these Terms & Conditions.

  • You understand the physical and outdoor nature of the weekend.

  • You believe you are sufficiently fit and able to participate, or have discussed any concerns with the organiser.

  • You agree to follow reasonable safety instructions.

  • You agree to behave respectfully towards other participants, the organiser and the environment.

  • You will provide accurate information relevant to your participation and safety.
